Acceptable Use Policy and Conditions of Use. Last updated: 28 October 2026

This Acceptable Use Policy and Conditions of Use (“AUP”) defines the rules and conditions that govern your access to and use (including transmission, processing, and storage of data) of the RAISE Forum (“the Services”), as granted by EGI Foundation, for the purpose of supporting communication, collaboration and knowledge sharing within the RAISE community (Resource for AI Science in Europe) and the wider community working on artificial intelligence in science. The Forum is delivered by the SCIANCE project.

The additional conditions set out in “Additional conditions for the RAISE Forum”, “Eligibility and registration” and “Limitation of liability” below supplement, and must be read together with, clauses 1 to 10. They do not replace or contradict those clauses, whose wording and numbering are not changed.

In this AUP, “the operators” means EGI Foundation together with the administrators and moderators it appoints to run the Forum, and Communiteq acting as the hosting provider on EGI Foundation’s instructions.

Acceptable Use Policy and Conditions of Use

  1. You shall only use the Services in a manner consistent with the purposes and limitations described above; you shall show consideration towards other users including by not causing harm to the Services; you have an obligation to collaborate in the resolution of issues arising from your use of the Services.
  2. You shall only use the Services for lawful purposes and not breach, attempt to breach, nor circumvent administrative or security controls.
  3. You shall respect intellectual property and confidentiality agreements.
  4. You shall protect your access credentials (e.g. passwords, private keys or multi-factor tokens); no intentional sharing is permitted.
  5. You shall keep your registered information correct and up to date.
  6. You shall promptly report known or suspected security breaches, credential compromise, or misuse to the security contact stated below; and report any compromised credentials to the relevant issuing authorities.
  7. Reliance on the Services shall only be to the extent specified by any applicable service level agreements listed below. Use without such agreements is at your own risk.
  8. Your personal data will be processed in accordance with the privacy statements referenced below.
  9. Your use of the Services may be restricted or suspended, for administrative, operational, or security reasons, without prior notice and without compensation.
  10. If you violate these rules, you may be liable for the consequences, which may include your account being suspended and a report being made to your home organisation or to law enforcement.

Additional conditions for the RAISE Forum

  1. Ownership of, and licence to, your content. You retain all intellectual property rights in the content you submit to the Forum (including posts, topics, replies, messages, images and files). By submitting content, you grant EGI Foundation and the operators of the Forum a non-exclusive, royalty-free, worldwide licence to host, store, reproduce, adapt for display, publish and distribute that content for the purpose of operating the Forum and making it available to other users. This licence ends when your content is removed from the Forum, except to the extent that copies remain in routine backups, caches or logs until they expire. You may additionally release your contributions under a public licence of your choosing (for example a Creative Commons licence); any such licence continues to apply according to its own terms.
  2. Responsibility for your content. You are solely responsible for the content you submit. You confirm that you hold all rights necessary to submit it and to grant the licence in clause 11, and that it does not infringe the intellectual property, privacy or confidentiality rights of any third party. You shall not misrepresent the authorship of content or imply that your content is endorsed by EGI Foundation, the SCIANCE project or the RAISE community.
  3. Prohibited content and conduct. You shall not submit content that is unlawful, defamatory, harassing or discriminatory, that contains malicious code, or that constitutes spam or unsolicited advertising. You shall not impersonate another person, harvest other users’ personal data, create accounts solely to reserve an identifier, or attempt to overload, disrupt or gain unauthorised access to the Forum or its underlying infrastructure.
  4. Confidentiality of restricted content. You shall respect the confidentiality of private messages, of chat messages, and of any material posted in categories restricted to a particular group, and you shall not republish or redistribute such content without the permission of the persons concerned. Categories restricted to a particular group are marked with a lock icon next to their name. Material posted in the public categories can be read by anyone, including visitors who are not signed in and search engines, so it is not confidential, though it remains subject to clause 11 and to the privacy of the individuals concerned when reused outside the Forum.
  5. Acknowledgement. Where you reuse data, outputs or materials made available through the RAISE community or the SCIANCE project, you shall provide appropriate acknowledgement and citation.
  6. Moderation and reporting. Content may be moderated. The operators may edit, move, hide or remove content, and may decline to store or reproduce content, where this AUP or applicable law is breached, including in response to a substantiated intellectual-property takedown request. Some moderation is automated: the first posts of each new member are checked for spam with the help of an AI model, as described in the Privacy Notice. A post judged to be spam is hidden and the account is limited to reading until a moderator has reviewed the case; the moderators restore the post and the account where the judgement was wrong. Restriction or suspension of accounts is addressed in clause 9. To report content that infringes your rights or otherwise breaches this AUP, contact the administrative contact below.
  7. Reuse of contributions in project outputs. In addition to the licence in clause 11, you grant EGI Foundation and the SCIANCE project a non-exclusive, royalty-free, worldwide licence to use the content you post in the categories of the Forum that are not restricted to a particular group, to inform, and to reproduce or quote it in, the outputs of the RAISE community and the SCIANCE project, including the Strategic Research and Innovation Agenda (SRIA), project reports and deliverables, and related publications, in aggregated, summarised or quoted form. This licence does not extend to private messages, to chat messages, or to content posted in categories restricted to a particular group.
  8. Attribution. Where your individual contribution is quoted or directly reused in such an output and is reasonably attributable to you, you will be credited by the name or username on your account, unless you have asked not to be credited or the contribution is used only in aggregated or anonymised form. Where you have released a contribution under a public licence (for example a Creative Commons licence), that licence and its attribution terms are respected. Nothing in this clause obliges EGI Foundation or the SCIANCE project to use any contribution.

Eligibility and registration

  1. Who may use the Forum. The Forum is open to individuals who have a professional, research, policy or educational interest in artificial intelligence in science. RAISE is a European initiative and the agenda of the Forum is centred on Europe, while membership itself is open worldwide, wherever you are based. By registering you confirm that you are aged 16 or over. The Forum is intended for individuals rather than organisations (see clause 21).
  2. Registering an account. Anyone can read the public categories of the Forum without an account. Taking part (posting, replying, reacting, sending messages and using chat) requires a registered account, as does reading the categories restricted to particular groups. You may register either by creating a standard account with a verified e-mail address, or by signing in through one of the single sign-on providers offered. In either case you shall provide accurate information, and shall keep it correct and up to date in accordance with clause 5.
  3. Your account is personal to you. Each account belongs to one identified individual. You shall not create an account in the name of another person or organisation, share your account with anyone else, or transfer it. Shared, role-based or team accounts are permitted only where the operators have agreed to them in writing. You are responsible for the activity carried out under your account, and shall protect your credentials in accordance with clause 4 and report any suspected compromise in accordance with clause 6.
  4. Refusal, review and closure. The operators may refuse a registration, review new accounts before granting posting rights, and set trust levels or other limits, in order to protect the Forum against spam and abuse. Registration confers no right to continued access, which may be restricted or suspended under clause 9 or withdrawn under the Code of Conduct. You may close your account at any time from your account preferences; the Privacy Notice explains what happens to your personal data.

Limitation of liability

  1. The Services are provided on a reasonable-efforts basis. As stated in clause 7, no service level agreement applies to end users. The Services are provided “as is” and “as available”, without warranty of any kind, express or implied, as to availability, continuity, freedom from error, fitness for a particular purpose, or the accuracy of any content. Use is at your own risk. The operators may change, suspend or discontinue the Forum, which may cease to operate at the end of the SCIANCE project; reasonable notice will be given.
  2. No endorsement of member content. Opinions and information published by members are their own, as set out in clause 12, and do not represent the views of EGI Foundation, the SCIANCE project or its consortium, the RAISE community, or the European Union. Moderation under clause 16 does not mean that content has been checked, verified or endorsed. The Forum contains links to external websites outside the operators’ control, and no responsibility is accepted for their content or availability.
  3. Limitation of liability of EGI Foundation. To the fullest extent permitted by applicable law, EGI Foundation and the SCIANCE project partners are not liable for any indirect, incidental, special or consequential damage, or for any loss of profit, revenue, business, opportunity, data or goodwill, arising out of or in connection with your use of, or inability to use, the Services; and are not liable for loss or corruption of content, for unavailability or interruption of the Services, for content published by members or by third parties, or for the consequences of any restriction or suspension applied under clause 9. Nothing in this AUP excludes or limits liability for death or personal injury caused by negligence, for intentional misconduct or gross negligence, or for any other liability that cannot lawfully be excluded or limited.
  4. Limitation of liability of the granting authority (European Union and HADEA). The Forum is delivered by the SCIANCE project, which is funded by the European Union under grant agreement No 101293570. Views and opinions expressed on the Forum are those of the individual authors only and do not necessarily reflect those of the European Union or of the European Health and Digital Executive Agency (HADEA). Neither the European Union nor the granting authority can be held responsible for them. Neither operates the Forum, is a party to this AUP, nor bears any liability arising from it. Any claim in connection with the Forum shall be directed to EGI Foundation using the administrative contact below.
  5. Applicable law. This AUP is governed by the law of the Netherlands, without prejudice to any mandatory provisions of the law of the country in which you are habitually resident that may apply to you. Nothing in this clause affects your right to bring a complaint before a data protection supervisory authority, as described in the Privacy Notice.
